Important notes:

  • Virginia Tech requires that all events that serve alcohol have an ABC license. This is a university wide requirement that cannot be waived for any reason. The license can be one that you acquire as an individual or, if your alcohol is provided by a caterer, then a copy of their ABC license is required.
  • Event insurance must be obtained for all private events not affiliated with VT. This is a university wide requirement that cannot be waived for any reason.
  • We are unable to restrict garden access to classes, students, and the general public who may be passing through the gardens. Our experience has been that students and visitors have been very respectful of special events.
  • While we try to alert people to possible university and community conflicts that will increase traffic to the garden it is ultimately your responsibility to check before booking. Events that might increase garden traffic include high school prom and homecoming dances, university graduations and university athletic events. We strongly recommend avoiding dates when there is a large event on campus. It is your responsibility to be sure there is not a large event taking place at the university or the surround communities on your chosen date.
  • Please note that we are unable to book Fall weekend dates (late August-November) until the ACC Football schedule is released in late January. However, we can book on dates with already scheduled non-conference away games, please check this schedule: VT Future Football
  • Campus regulations require a tent permit 30 days before the event through VT Facilities for tents larger than 900 sq ft. We can take care of this for you.
